Platform users

When your organization signs up for ProgencyAI we collect:

• Account credentials and contact details for authorized staff
• Consumer records, medication administration records (MARs), incident reports, scheduling data, and other information your organization enters into the platform
• Usage logs generated as you interact with the platform

All data entered into the platform belongs to your organization. We act as a data processor on your behalf.

3. How we use your information

We use collected information solely to:

• Operate, maintain, and improve the ProgencyAI platform and website
• Respond to support requests and inquiries
• Send transactional communications (account notices, security alerts)
• Meet legal and regulatory obligations

4. We do not sell or share your data

We do not sell, rent, trade, or otherwise share any personal information or organizational data with third parties for any purpose. Your data — including all consumer records and clinical information — remains strictly within ProgencyAI's systems and is never disclosed to outside parties except as required by law.

5. AI features and your data

ProgencyAI includes AI-assisted features (such as scheduling suggestions, compliance alerts, and the AI assistant). These features process your data entirely within our controlled infrastructure. No information you enter into ProgencyAI is sent to external AI services, third-party model providers, or any outside organization. AI processing occurs in an isolated environment using AWS services operating under our account and data-processing agreements — your data never leaves our custody.

6. Data security

We implement administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, including encryption in transit and at rest, role-based access controls, audit logging, and regular security reviews. We maintain controls consistent with HIPAA requirements for covered entities and business associates.

7. Data retention

We retain platform data for as long as your organization's account is active and for a reasonable period afterward to fulfill legal obligations or resolve disputes. You may request deletion of your organization's data by contacting us at the address below.

8. Cookies

We use session cookies strictly necessary to operate secure login and page functionality. We do not use tracking or advertising cookies.

9. Children's privacy

Our platform is designed for licensed care providers. We do not knowingly collect personal information from children under 13. Consumer records for minors in care are managed by the licensed provider organization under their own HIPAA obligations.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of the platform after changes constitutes acceptance of the revised policy. We will provide additional notice for material changes.
